I own a share and act as a Chairman for four businesses currently and also hold two non-executive positions. I am also looking to purchase a few more businesses in the next few months. However, I need HELP
I am looking for a personal assistant that can make my life easier and better organised.
The qualities the individual requires are:
• Well organised
• Efficient
• Well spoken
• Good use of English – to make up for my poor grammar and spelling
• Good humoured
• Savvy/shrewd
• Discrete
• Can deal with stress
• Will need to be able to work with Microsoft Word, Excel, PowerPoint and Outlook.
Job Description:
• Will be required to work closely with me and also be left on their own to ensure tasks get done;
• Help me to make the best use of my time by dealing with secretarial and administrative tasks;
• You will need to gain extensive knowledge of all the companies I own and on the board of. Including getting to know who key personnel are (both external and internal); and
• I will often rely heavily on the person, trusting that work will be handled efficiently in my absence. Discretion and confidentiality are therefore essential attributes.
Typical Work Activities
• Screening telephone calls, enquiries and requests, and handling them when appropriate;
• Meeting and greeting visitors at all levels of seniority;
• Organising and maintaining diaries and making appointments;
• Dealing with incoming email, faxes and post, often corresponding on my behalf;
• Taking dictation and minutes;
• Carrying out background research and presenting findings;
• Producing documents, briefing papers, reports and presentations;
• Organising and attending meetings and ensuring I am well-prepared for meetings;
• Devising and maintaining office systems, including data management, filing, etc.;
• Arranging travel and accommodation and, occasionally, travelling with me to take notes or dictation at meetings;
• Carrying out specific projects and research; and
• Processing my invoices and expenses on SAGE;
